Linnworks x Lightspeed Channel App Documentation

Connect your Linnworks account to Lightspeed and take advantage of the multiple payment options, smart functionalities, and the multiple pre-built reports that’ll give you incredible visibility over your ecommerce operations.

How to set up the integration

The integration itself will be set up and managed by the team at TIDE. To get started, contact harry@tideconnects.com or support@tideconnects.com

The set up process will include:

  1. Connecting to your Lightspeed X-Series account
  2. Setting up the Lightspeed by TIDE app in Linnworks, using both the system app and channel modules
  3. Once the connections are established, your TIDE Account Manager will deploy configuration of your integration with you
  1. Upon signing your agreement with TIDE, you will be given a login to your TIDE dashboard. To get started, go to new.tideconnects.com.
  2. From the TIDE Dashboard, click ‘Connections’ in the menu in the top-left of the screen or the Go to connections button.
  3. In the connections page, find and click on Lightspeed X-Series. Fill in the Lightspeed Retail Prefix field with the .retail.lightspeed.app URL for your company, then choose the currency. Save changes, then click the Auth connection button that appears.
  4. You will be redirected to Lightspeed, where you will be asked to log in, then to grant certain permissions to TIDE. Once completed, you will be redirected back to TIDE.
  5. Once back on the TIDE Connections page, a green tick should appear next to Lightspeed X-Series in the list of connections (if it doesn’t, try refreshing the page).

TIDE requires an access token for this part of the set up.

  1. Follow the App Installation Link in the Linnworks Connection Panel in TIDE, which will prompt you to install the TIDE system app in your Linnworks account.
  2. You will receive an ‘Application Installed’ message with an access token. Copy the token and navigate back to your TIDE dashboard.
  3. Add a new connection as you did with Lightspeed and select Linnworks. Once loaded, paste your token into the Access Token field.
  4. Make sure you click save changes in the top right of the page once completed.
  1. First, we will need to give your channel a unique name in TIDE under the Account name field, this could be something like TIDExShopname. Click Save changes in the top right when completed.
  2. Once done, navigate to Linnworks and go to Channel Integrations, and click Add New Channel.
  3. Search for ‘Lightspeed by TIDE’ and click Install Application.
  4. Once you click install, you will be prompted to input the Account Name field. Please input the same account name that you set up in TIDE previously.
  5. You will need to agree to the terms and conditions and click next.
  6. Copy the Client ID and Client Secret tokens from the Linnworks Connection panel in TIDE to the channel installation wizard when prompted.
  7. Click Finish and navigate back to the Channel Integrations in Linnworks.
  8. Click the pencil icon under Actions to edit the integration.
  9. Check the box that says Enabled under Account.
  10. Scroll down to Inventory and check the box that says Update Inventory to enable stock updates.
  11. To sync prices, enable the price change checkbox under Inventory – Price Change.
  12. Scroll down to Listings and check the box that says Auto Link by SKU.
  13. Click Download Listings at the bottom. This will automatically link your Linnworks item numbers with SKU’s from Lightspeed via TIDE.
  14. Save and exit.

Supported Features

Orders

Lightspeed by TIDE can be configured so that either Linnworks or Lightspeed acts as the sales channel. The following is for Lightspeed as the sales channel.

  • New orders placed in Lightspeed will sync to Linnworks. By default, orders are synced immediately, but users can choose to sync orders in batches instead.

  • Orders with status CLOSED, AWAITING_DISPATCH, or AWAITING_PICKUP are synced to Linnworks by default. Users can also opt to sync ONACCOUNT orders.

  • The Lightspeed order invoice number, as well as the internal order ID, are added to the Linnworks order to create an audit trail.
  • Key sale information such as customer details, postal details, payment amount, products, and orders comments are included in the synced order.

  • TIDE automatically blocks duplicate orders from being created in Linnworks.

  • Automations allow dynamic location mapping and order autoprocessing, as well as order identifier and shipping service mapping.

Reversals

  • Full and partial refunds placed in Lightspeed to sync to Linnworks as an Actionable Refund and/or an RMA

  • Returns placed in Lightspeed will reallocate stock in Linnworks via an RMA.

  • Actionable Refunds and RMAs can be automatically actioned with automations.
  • COMING SOON – Exchanges placed in Lightspeed to generate an exchange in Linnworks

  • COMING SOON – Cancelling an order in either Linnworks or Lightspeed will cancel the same order in the other system.

Orders

  • Every 5 minutes, TIDE checks for new open orders in Linnworks and syncs them to Lightspeed.

  • Order information such as customer details, postal details, payment amount, products, notes will be included in the order in Lightspeed.

  • Users can configure which Lightspeed register orders are assigned to (or stock location for other platforms).

  • Users can configure which status an order is assigned, e.g. CLOSED, AWAITING_DISPATCH or ONACCOUNT, etc.

  • Duplicate orders will be prevented.

  • Customer info from the order synced to Lightspeed as new user account.

Reversals

  • Refunds placed in Linnworks to sync to Lightspeed (or other inventory management/ERP). The order will either be refunded directly or a credit note generated depending on the system.

  • Returns placed in Linnworks to reallocate stock in Lightspeed.

Lightspeed as stock master

  • TIDE will pick up changes to stock availability in Lightspeed and sync to corresponding products in Linnworks.

  • Users can choose which Lightspeed outlets to pull stock levels from, and Linnworks fulfilment centres/stock locations to update.
    – Location mapping can be set up in either one-to-one or many-to-one configurations.

Linnworks as stock master

  • TIDE will pick up changes to stock availability in Linnworks and sync to corresponding products in Lightspeed.

  • Users can choose which Linnworks stock locations to pull stock levels from, and Lightspeed outlets to update.
    – Location mapping can be set up in either one-to-one or many-to-one configurations.

  • Users can configure the maximum stock quantity synced from Linnworks to Lightspeed.

  • New products created in Linnworks will be synced to Lightspeed
    – Product updates will be synced from Linnworks to Lightspeed.
    – TBC: Product metadata (price, description, name, category, brand) to be retrieved from Linnworks.
  • TIDE can configure which product fields are updated in Lightspeed.

When an order’s status changes to Processed in Linnworks, the Lightspeed order will be closed if it is not already.
